What is EpicCare Link?
EpicCare Link is a web-based portal that provides secure access to select patient information.

Who can use EpicCare Link?
Any physician who refers a patient to The University of Kansas Health System can use EpicCare Link, provided that the patient identifies the physician as part of his or her care team. Physicians also can identify their office and administrative staff who should have access to patient information in EpicCare Link.

Certain insurance providers, regulators and other authorized third parties also may use EpicCare Link to access patient information.

How secure is EpicCare Link?
EpicCare Link uses industry-standard encryption technology, ensuring access is only available to those you have authorized to view patient data.

Is there a cost?
There is no cost associated with using EpicCare Link.

Will EpicCare Link require a specific browser or technology?
You will need access to the Internet through Internet Explorer, Chrome, Firefox or Safari.

How will I enroll in EpicCare Link?
Enrollment is quick and easy. You will need to provide contact information and other specific identification information for each person you would like to provide access.

What is a site administrator?
You will need to identify a site administrator to coordinate and manage your site or organization's access to EpicCare Link. This step is required to process your enrollment.

Can my staff access a patient's medical record on my behalf?
You can request EpicCare Link access for clinical staff, non-clinical staff and office administrators in your practice. Each staff member will need to enroll in EpicCare Link, electronically sign the terms and conditions and abide by rules of patient confidentiality. You and your clinical staff, including physician assistants, nurses, administrative personnel and office managers, will have access to your patients' medical records. At least one person at your site must be designated as the site administrator who will have certain additional administrative responsibilities.

How will I know when you have updated a patient's medical records or posted lab or imaging results?
You will receive a message in your EpicCare Link in basket. If you don't open it for 24 hours, the system will send you a reminder to your email address.

What are the advantages of EpicCare Link?
EpicCare Link gives you real-time access to your patients' medical records, including test results, imaging reports and notification of outpatient visits, admissions and discharges.

Will training and support be available?
After enrolling in EpicCare Link, you can access online training at any time right from the landing page. For technical assistance, call the EpicCare Link help desk at 913-588-4894 option 2.

What information will I need if I call the help desk?
  • User name and login
  • Practice site information
  • The name of the patient you are accessing and your relationship with him or her
  • Regarding a referral, the service for which you have referred the patient and the referral ID you received electronically upon completing the referral
