Before you start

Before your first day with The University of Kansas Health System, there are several tasks for you to complete for a smooth onboarding experience. These will be communicated to you via the email address used on your application. Please check your email regularly over the next few weeks. Also be sure to check your spam folder as emails from a new contact may inadvertently be moved to spam.

Use this page to help organize your tasks and the various communications you may receive.

Preboarding/postoffer health visit

We are committed to providing and conserving a safe and healthy environment for our employees, those we care for and our communities. That is why safety and health protection measures begin during our preboarding (postoffer) process. Please review and complete the following resources before your orientation date.

Workday onboarding

Workday is the health system’s resource planning tool for Human Resources, Payroll and more. Once you have completed and cleared your pre-employment drug screening and background check, you will need to log in to Workday and complete additional onboarding tasks (set up direct deposit, choose tax elections, etc.).

Workday login credentials

Temporary Workday login credentials and a temporary Workday URL will be sent to your personal email address. Your temporary Workday username and password will arrive in two separate emails. These credentials are valid only until 11:59 p.m. CST on the Wednesday before your Thursday start date.

The first email will provide a temporary username along with the temporary link to Workday. This username will not be valid after your start date.

A second email will contain a temporary password to use with the username provided in the first email. Once again, this password is temporary and will not be valid after your start date.

Upon the start of your first day, you will begin using your permanent health system network account credentials to log into Workday.

Note: If you are unable to log in to Workday, no worries! When you attend Day 1 of New Employee Orientation, you can talk to our technology experts who can help you troubleshoot and ensure you get connected. There are no tasks that must be completed before orientation.

Completing Workday onboarding

  • Access Workday from a web browser.
  • Log in using your temporary login credentials.
  • Navigate to your Workday inbox and complete any tasks assigned.

Please note: Some onboarding tasks will not show until you’ve completed an earlier task.

Initialize health system account information

New employees will receive health system account information via a secure email to your personal email. This account information will include your employee ID, your permanent health system network username and password. You will receive two emails about this secure message.

Follow the instructions provided to access the secure message, obtain your health system credentials and create a permanent network password. After your official start date, you will use these credentials to log in to Workday and other systems in the future.

If you are unable to log in to the health system network or systems using your permanent network username and permanent password, please call the Healthcare Information Technology Services (HITS) Service Desk at 913-945-9999, option 1.

Do you have a prior affiliation with The University of Kansas or The University of Kansas Health System?

As a current or former employee, contractor, university student or university employee, your health system account information remains the same and you will not receive a secure email. If you need assistance with a password reset, contact the HITS Service Desk at 913-945-9999, option 1.

Install and register for Duo Mobile

As a health system employee you will need to follow a two-step authentication process to log in to many network systems. This is an important security measure. The health system uses the Duo Mobile smartphone app to provide multifactor authentication to protect sensitive information. Download DuoMobile via the App Store or Google Play.

Employees are required to set up Duo. After your start date, you will not be able to log in to Workday or other applications without it.
